So, in this guide, we'll show you how to properly share a calendar to a group of people within your organization step by step, avoiding errors like "You don’t have permission to share your calendar with allcompany@domain.com".
* Note: This specific error occurs because the group "allcompany@domain.com" is the default Microsoft 365 group for everyone on the network, but it is not a security group required for calendar sharing.
How to share a calendar with a group of people within your organization in Office 365/Microsoft 365.
Step 1. Create a Security Group or an Email Security Group with the Users.
To be able to share a calendar to a group of users, you need to first create a Security group or an email-enabled security group that includes the people that you want to be able to access the shared calendar.
In this guide I will show how to create an Mail-enabled security group, because with this type of group you can grant access to shared resources such as SharePoint sites or calendars, and send email notifications to the users of the group.
1. Navigate to Exchange Online admin center > Recipients > Groups and select the Mail-enabled security tab. Then click Add a group.
2. At Group type choose Mail-enabled security and click Next.
3. Type a recognizable name for the new group and give a description for this group. Then click Next.
4. Now click + Assign owners and select the users from your organization who you want to be the group owners. When done, click Next to continue.
5. Now click + Add members and select the users from your organization who you want to be the group members. Then, click Next to continue.
6. Now type an email address for the new group and -optionally- select below whether you want people outside the organization to send emails to this mail-enabled security group and if the owner approval is required to join the group. Click Next to continue.
7. Finally, review the settings for the new group and, if they are OK, click Create Group to create the new group.
8. Proceed to the next step to share the Calendar you want to the group you created.
Step 2. Share Calendar to a Security Group via OWA.
1. Open the Calendar you want to share in OWA (Outlook for web) and click on Settings icon.
2. Go to Calendar > Shared calendars, select the Calendar you want to share and click Share.
3. Finally, type the email address or the name of the security group you created before, customize the sharing permission for both the group and the other people on your organization and click Share.
